Refund & Cancellation Policy

How refunds, cancellations, and transfers are handled for course enrollments at Woodberry Place English Academy.

This Refund & Cancellation Policy sets out when refunds are offered by Woodberry Place English Academy ("the academy," "we," "us," or "our"), what cannot be refunded, how to request a refund, and how long processing takes. It sits alongside our Terms & Conditions and forms part of the agreement you accept at enrollment.

This policy applies to all course fees and the one-time registration fee paid to Woodberry Place English Academy, whether paid in person, by bank transfer, or through our online payment gateway. It applies equally to students who enroll themselves and to parents or legal guardians enrolling a student who is a minor.

1. Eligibility — who can request a refund

You may request a refund if all of the following apply:

  • The request is made within 7 days of your enrollment, and
  • Your first class in that course has not yet started, and
  • The course has not been formally cancelled by you in writing before.

After you have attended your first class, group-course fees are not refundable except on a pro-rated basis for the specific courses listed in Section 4 below.

The one-time Registration Fee of Rs 2,000 is non-refundable under all circumstances — see Section 2.

2. Non-refundable items

The following items are not refundable under any circumstances once paid:

  • The one-time Registration Fee (Rs 2,000), including where a student withdraws before the course begins or transfers to another course.
  • The 3-day Grammar Course (Rs 10,000), as it is a full-pay, short-format intensive — non-refundable once a session is booked.
  • Course materials, workbooks, mock test papers, and certificates already issued to the student.
  • Classes already attended, except where a pro-rated refund applies under Section 4 (Spoken English & Grammar B2 only).
  • Any payment gateway charges deducted by the processor on the original transaction, where recovery of those charges from the processor is not possible.

3. Refund amounts by course

Where a refund is eligible under Section 1, the refundable amount is calculated as follows:

IELTS General, IELTS Academic, and PTE

  • If cancelled before the first class and within the 7-day window: a full refund of the course fee is given, less the Rs 2,000 registration fee.
  • After the first class has started: no refund of the remaining course fee.

Spoken English & Grammar B2

  • If cancelled before the first class: a full refund of the course fee is given, less the Rs 2,000 registration fee.
  • After classes have started: a pro-rated refund is given based on the number of whole months not yet taught, less the Rs 2,000 registration fee and the Rs 10,000 Grammar add-on if purchased. Partial months are not refunded.

Kids Spoken English (Grades 1–6) and Grade 6 School English

  • Fees are collected month-by-month. A refund is given for any unused months paid in advance, less the Rs 2,000 registration fee if applicable.
  • No refund is given for months already begun.

IELTS Individual and PTE Individual (1-on-1)

  • If cancelled before the first scheduled 1-on-1 session: a full refund is given, less the Rs 2,000 registration fee.
  • After sessions have begun: the hours already delivered are deducted at the per-hour rate for the chosen mode (Physical or Online), and the remaining balance is refunded, less the Rs 2,000 registration fee.

4. Refund process

  1. Submit the request. Email info@woodberryplace.com from the email address used at enrollment. Include the student's full name, course name, enrollment date, the reason for the request, and the preferred refund method (where available).
  2. Review. We will acknowledge the request within one business day and complete a review within 3 business days. We may request supporting information (receipt, bank slip, screenshot of the payment confirmation).
  3. Decision. We will confirm by email whether the request is approved, approved in part, or declined, with reasons.
  4. Processing. Approved refunds are processed within 7–14 business days of approval and are returned via the original payment method wherever possible — card to card, bank slip to bank account, PayHere/online gateway to the original card.
  5. Partial refunds. Where only part of the fee is refundable (per Sections 2 and 3), we will set out the calculation in the decision email so you can see how the refundable amount was reached.

5. Transfers between courses or batches

  • You may transfer between courses or batches instead of withdrawing. A transfer fee may apply, which will be confirmed before the transfer is processed.
  • Where a transfer is to a lower-fee course, the difference is credited to your account toward future fees; it is not refunded in cash.
  • Where a transfer is to a higher-fee course, the difference is payable before the first class on the new course.

6. Cancellation of a class or course by Woodberry Place

If we cancel a scheduled class or an entire batch for any reason (for example, insufficient enrolment, instructor unavailability, or an operational disruption):

  • You will be offered a full refund of all fees paid for that course or batch, including the Rs 2,000 registration fee, OR
  • You may transfer at no additional transfer fee to the next available batch of the same course, OR
  • You may transfer at no additional transfer fee to an equivalent-fee alternative course.

7. Disputes

If you believe a refund decision has been made in error, you may reply to the decision email with additional information. We will re-review and respond within 3 business days. We follow the dispute-resolution process set out in our Terms & Conditions.
